MINUTES OF THE PTA ANNUAL GENERAL MEETING HELD ON WEDNESDAY 7TH NOVEMBER 2007. Present Sharon Davey, Nicole Mullee, Sarah Thorneycroft, Susanne Bayer-Crosby, Natalie Rudderham, Jane Handy, Jane Hackshaw, Kelly Papworth, Ann Crossman, Sam Fletcher-Hawkes, Theresa Sarkar, Tracey Tait, Jane Christian, Linda Mayer, Hazel Brock, Vicky Godbold, Clare Wadd, Liisa Bird, Andrea Watts, Charlotte Grange, Alison Wilson, Kirsty Ashman, Jacqui Storey, Linda Tuffee. 1. Apologies -Caroline Stevens. Minutes of the last meeting were taken as read and signed. They were proposed by Natalie Rudderham and seconded by Linda Tuffee. “On behalf of the PTA Committee I would like to welcome you this evening to this years Annual General meeting. This evening we will report back on all events that have taken place this year, explain what the PTA does and hold an election to form a new committee. As you may be aware I am the only person leaving the committee this evening so my position, Chair needs to be filled. Our Treasurer Hazel is going to remain on the committee but due to other commitments is standing down as Treasurer. So as there will be still be 10 present PTA members remaining, 3 people may join this evening. However anyone can attend meetings and help is ALWAYS needed at each and every event. We have had nomination forms back and I will go into this later in the evening. At this point I would like to stress that the purpose of the PTA is solely fund raising, to support the school financially, providing the children and classrooms with things that the school might not be otherwise be able to provide. So, onto the exciting bit. Over the last school year we arranged 13 events raising nearly £5600, which we are all extremely proud of. Two of our members, Jane Hackshaw and Sarah Thorneycroft attended a first aid course and one of these ladies is present, at every event we hold. Now I will just explain each of these events briefly. Even though we’ve only just had this years, which I hope you will all agree was fantastic, last years Bonfire celebrations raised £259.54 and most of the children seemed to enjoy it (obviously not the ones sitting inside covering their ears!!) We try to hold the children’s discos once a term, as they love them. Tickets are £2 each and they have a drink halfway through the disco and bags of crisps to munch on the way home. We had to raise the price of the tickets as the cost of the disco increased this year and the overall profit for the 3 discos was £372.69. There are always plenty of helpers on the night (at least 4 PTA and 2 staff). At Christmas we sell the Ultimate Plum Puddings with the winning children design topping each pudding. Sales were good last year with a profit of £146.35. A grandparent to children at the school donated the most beautiful and delicious Gingerbread house and we sold raffle ticket to parent/families who attended the Christmas plays raising £263.55. Also at Christmas time we buy small gifts for the children, wrap them up then Santa delivers them on the last day at school! In the New Year we arranged a Bags4school collection of bric–a-brac, shoes, clothes etc that raised £172.00 so please keep all of your unwanted goods for next year, as we’ll do this again in 2008. In March we hosted a Junior Bingo night. Tickets were slower than the previous year but the children and helpers really enjoyed the event, which raised £42.33. April saw our adults Quiz night, which included a ploughmans supper and participants bought their own drink. The previous years winners set the questions and I hope this event goes ahead this year as I was on the winning team and we’re looking forward to setting the questions this year. Overall this event raised £448.26. The box of colours was very popular again last year with children and adults alike. Each class had a box placed in the classroom and had a colour theme for children to bring in items to place in the box. They were wrapped nicely and raffle tickets were sold and the winners were drawn in assembly just before Easter time raising £292.90. The Summer Fayre last year was a great success and the weather held out for us – thankfully. I would just like to say that this was a very busy time for all of us and we all worked really hard to make the Fayre a success. Januarys sponsored the Fayre and Clare Buckfield opened and judged the Fancy Dress competition. We had a BBQ, the stocks, medieval themed stalls and even a Balloon race, which raised an overall amount of £2602.03, which we were all really pleased with. Another great event was Boogie nights at Bedding plant sales were down last year but we still raised £121.80 and the plants were as nice as ever. So what did we spend the money on? Back in the start of the school year each teacher/class was given £125 to spend how they wished in their classroom. We provided outdoor equipment for the KS1 and KS2 playgrounds totalling £4500. More recently we have given £2600 towards updating the Reception play area and surfacing and have given each teacher/class £125 again, to spend how they wish in their classrooms. So as I hope you will see that all this fundraising and hard work really does benefit each and every child at the school. However these fundraising events would not be possible without the help and support of our children’s parent/grandparents and so we would like to thank everyone who has helped in any way, manned a stall, baked a cake, donated a raffle prize, allowed their children to attend a disco, attended an event themselves and spent (sometime lots!!) of money at an event. Thanks also to the staff who gave up their time to help at events, usually in the evenings, and who attends the meetings. I would like to say a massive thank you to all of the committee who have been great this year. They’ve had good ideas, been supportive and helped me tremendously, - thank you. Personally I have really enjoyed my three years on the PTA, my last year as Chair. I have made many new friends and felt that I have contributed in some way to our children’s schooling.” Hazel reported that after administration costs the PTA had £5511.17 of uncommitted funds available at the end of September 2007. The financial year started on 1 October 2006 with total funds of £9638.65, a total of £9513 was spent on playground equipment, surfacing, garden area and path. Also 2 separate donations of £1000 were given to the school and total fund raising activities raised £5581.44. Ms Godbold began by praising the PTA for their energy, enthusiasm, effort and commitment throughout the year and to say how much all of the events organised had been enjoyed. The PTA was also thanked for their contribution to the school for the playground equipment that benefited each child in the school. She formally thanked all the members of the committee, particularly the Chairperson Natalie Rudderham and presented her with a bouquet of flowers. Natalie informed the meeting that there were vacancies for three members, including the Treasurer and the Chair position. Jane Hackshaw said that she would be prepared to be Chairperson and was proposed by Natalie Rudderham and seconded by Linda Tuffee. Nicole Mullee was proposed as vice chair by Jane Hackshaw and seconded by Sarah Thorneycroft. Jacqui Storey was proposed as Treasurer by Nicole Mullee and seconded by Jane Hackshaw. Three other people said that they would like to join the PTA. Sam Fletcher-Hawkes was proposed by Sarah Thorneycroft and seconded by Linda Tuffee. Lynda Mayer was proposed by Sarah Thorneycroft and seconded by Hazel Brock. Simon Dawson was proposed by Michelle Dawson and seconded by Caroline Bradshaw. Jane thanked the new members for joining and said that a short meeting of the new committee would take place after the AGM. There was no other business. The meeting closed at 8.30 pm |
